Cross-Divisional Event Review Committee

The Cross-Divisional Event Review Committee is a campus-wide planning resource that supports the coordination of significant Âé¶¹´«Ã½ events.

Comprised of representatives from across the College, the committee helps event planners consider the broader campus calendar, identify potential scheduling conflicts, anticipate competing demands on shared spaces and services, and coordinate with colleagues when appropriate.

The committee complements, but does not replace, the College’s established space reservation and event review processes. Authority for space scheduling and other required event approvals remains with the Office of the Registrar, the Master Calendar Coordinator, and other responsible campus offices.

Cross-Divisional Event Review Calendar

The Cross-Divisional Event Review Calendar provides a broader view of significant events and programs being planned across campus. Event planners can use the calendar to:

  • Identify potential conflicts or competing major events.
  • Consider the overall volume of programming occurring on a particular date or time.
  • Anticipate impacts on shared audiences, spaces, and campus resources.
  • Coordinate with other departments or event organizers when appropriate.
  • Make informed scheduling decisions while plans remain flexible.

Events to Include on the Calendar

The calendar is intended to capture significant events that may affect campus-wide scheduling, shared audiences, or College resources, rather than duplicate every reservation appearing in 25Live.

Generally, include events when they:

  • Draw a significant campus or external audience.
  • Involve multiple departments, divisions, or campus partners.
  • Represent major College traditions, celebrations, performances, lectures, conferences, or ceremonies.
  • Place substantial demands on shared resources such as parking, dining, facilities, security, event services, or outdoor spaces.
  • Feature prominent external guests, speakers, performers, or dignitaries.
  • Compete for audiences with other significant campus programs.
  • Present scheduling or operational considerations that would benefit from early cross-campus awareness.

Routine meetings, classes, small departmental gatherings, and events with limited campus-wide impact generally do not need to be included.

When in doubt, event organizers are encouraged to share significant programs early so potential scheduling considerations can be identified before plans are finalized.
